Trusting Chester Zoo with Your Data

The privacy and security of your personal information is extremely important to us. This Privacy Policy explains in a simple and transparent way how and why we use your personal data, so that you can trust us to look after it. If there are significant updates, we will inform those people with whom we are in regular contact, such as members and email subscribers.

When you support our mission of ‘Preventing Extinction’ we process your personal data.  This Privacy applies to you if you:

  • Are one of our members or adopters
  • Visit the zoo
  • Visit our website or buy tickets or products online
  • Are involved in our science and conservation activities
  • Donate, add Gift Aid or participate in our fundraising activities

There are occasions when we will provide additional transparency notices to keep you informed and so that you can be confident that we will use you data honestly and responsibly.

We respect your privacy and work hard to meet strict regulatory requirements. We never sell your personal data to third parties. We will only share it with organisations we work with who meet our high privacy standards.

Chester Zoo has measures in place to protect the data it holds, this includes but is not limited to physical security layers, technical security layers, encryption, processes and procedures all of which are tested on a regular basis to avoid where possible misuse and unauthorised access.

This Privacy Policy also tells you about your privacy rights and how the law protects you.

The Legal Stuff

Who are we ?

Chester Zoo is comprised of 3 entities:

The North of England Zoological Society (NEZS) is a company limited by guarantee and registered in England (company number 287902) and a registered charity (number 306077) and

registered with the Information Commissioner’s Office (registration number ZA280364).  NEZS manages the operation of Chester Zoo and it’s conservation activities.

Our wholly  owed subsidiary company, Chester Zoo Enterprises Ltd, manages our commercial activities including our shops and restaurants. Chester Zoo Enterprises Ltd is a private company limited by shares, registered in England and Wales (company number 02669535).  Chester Zoo Enterprises Limited donates its profits to NEZS.

Chester Zoo Hotels Limited  is also a wholly owned subsidiary company limited by guarantee and registered in England (company number 14611700) and registered with the Information Commissioner’s Office with (registration number ZB581764). Chester Zoo Hotels Limited is a data controller for all activities relating to overnight stays at Chester Zoo.

What lawful bases do we rely on to use your personal data?

For example, if you purchase something from our website, or become a member of Chester Zoo , or donate online, we will require your personal data to enable us to perform our agreement.

This would include where we have to retain certain records, for example, to manage your health and safety, for the detection and prevention of crime, safeguarding obligations, for maintaining suppression lists to ensure we comply with marketing laws, for tax reasons (such as those related to gift aid donations) and undertaking due diligence before accepting certain donations or entering into certain relationships.

We will not use your personal data for activities where our interests are overridden by the impact on you, for example where use would be excessively intrusive  or if you objected to us processing your personal data for a specific purpose.

We will also rely on our legitimate interests for the proper administration of Chester Zoo, and to manage our operations (for example, maintaining appropriate records and databases, for the detection and prevention of crime and safeguarding all those who access our premises and facilities).

In very specific circumstances related to ensuring you receive emergency medical care, we rely on vital interests as a lawful basis.

What type of personal data do we collect from you ?

Some examples of the type of information we collect are:

  • your full name and your title or an indication of the gender that you most closely associate with;
  • birth date or alternatively a relevant age range;
  • postal address;
  • telephone number(s);
  • email address;
  • records of your correspondence with us;
  • records of your purchases from us;
  • bank or credit card details (if you purchase something from us or donate to us);
  • donation and gift aid details (if you donate to us);
  • information you enter into our websites and digital products and details of how you use those websites and digital products
  • dietary, accessibility, and mobility information;
  • medical history and treatment details if you receive first aid whilst visiting Chester Zoo
  • CCTV footage of those visiting our premises;
  • Photographs and digital images of individuals.
  • we also collect, hold and process other personal data where it is appropriate and relevant, for example:
    • details of why you have decided to support/contact us and how you may have heard about us and the work that we do;
    • details of how you would like to be involved and what you intend to do with the information we provide;
    • personal data about you that will enable us to be more precise in what we send you or how we approach you; and
    • for purely business-related reasons, including managing relationships with third party and partner organisations.

What do we use your data for?

We use your personal data to:

  • provide you with the information, products or services you have requested from us, including such things as admission to the zoo, specific events that we run, merchandise from our shops, responding to your enquiries and requests, attending educational activities and events, and to tell you about our work and our fundraising;
  • provide you with other information which we feel interest you. This can include newsletters, tips, updates, information in relation to fundraising campaigns, voluntary surveys or questionnaires for you to complete, details of relevant volunteering opportunities, and details of any promotions and competitions we are running. We also send details of events we think you may be interested in attending;
  • administer all aspects of being a member of Chester Zoo;
  • manage all aspects of your recruitment and employment;
  • analyse and understand how people use our websites and digital products so we can improve and personalise the experience for users and reflect your preferences and previous interactions;
  • analyse visitor behaviour and associated purchases to inform our pricing strategy;
  • keep a record of our relationship with you;
  • improve how we communicate with you, how we fundraise, and how we operate more generally; keep in contact with you in the ways that you have requested or agreed to;
  • personalise our services and communications to you (for example, to ensure that they take into account your location and previous involvement with Chester Zoo);
  • provide you with information about carefully selected third party events, products, campaigns and competitions, but only where you have permitted us to do so;
  • notify you about changes to our services;
  • administer and process payments you make for products, services and charitable donations made to any of our entities;
  • verify your identity where required to use some of our services and benefits;
  • comply with applicable laws and regulations and requests from statutory agencies including for such purposes as health and safety; the detection and prevention of crime and safeguarding; and
  • carry out any obligations or provide you with any other services, functionality or content which you specifically request or agree to.

Where do we get your personal data from ?

We collect information about you:

When you give it to us directly

You give us your personal data in order to receive information from us; visit our facilities; buy products or services from us including such things as purchasing, administering and renewing membership; when you volunteer with us or take part in any of our community programmes – such as Wildlife Connections (or request information about these); when you donate to us; when you respond to a survey or when you otherwise engage with us on our websites and digital products.

When a third party provides us with your personal data

Your personal data be shared with us by third parties in certain circumstances including (but not limited to) individuals who purchase gift membership on your behalf, ticket agencies that sell tickets to access Chester Zoo or specific events run there, schools or other institutions who work with us or receive our services, by mutual contacts who recommend you to us or buy goods and services on your behalf or as a gift, and by our partners who host and run events (or help to run and host events) at our premises, or run competitions or prize draws jointly with us. Where appropriate you should check any Privacy Policy of any third party when you provide your personal data to them in order to understand fully how they will process your personal data.

When it is available publicly

To gain a better understanding of you, to improve our communications and fundraising approaches we combine personal data you provide to us with personal data available from external publicly available sources such as Companies House and published articles and newspapers. Depending on your privacy settings for social media services, we can also access personal data from those accounts or services.

When you use our websites and digital products, such as chesterzoo.org

We collect personal data about you when you use our websites and digital products. Whenever you input personal data into our website (for example, if you become a member or renew a membership online or otherwise support us through our website, book a visit online or download any of our resources), we will collect the personal data that you give to us.

We use “cookies” to identify you when you visit our websites and digital products to help us to understand our website users and enable us to improve the website experience for you and/or other users. Please refer to our Cookies Policy for details on how and why we use this data.

Your data protection rights

The UK General Data Protection Regulation,  provides you with the following rights:

  • The right to erasure (the right to be forgotten):
  • You have the right to ask for your personal data to be erased from our systems and data bases. However, this right is not absolute and we can refuse this request, if this is the case, we will explain our reasons for our decision.
  • The right to restrict processing: You have the right to ask us to restrict the processing of your data. This is an alternative to erasure and usually a temporary measure to limit the way we use your data whilst another data related matter is being resolved.
  • The right to data portability: This right allows you to obtain and reuse the data we hold about you for your own purposes across different services, but doesn’t apply to the type of data we process about you.
  • The right to object: You have the right to object to Chester Zoo processing your personal data for the purpose of direct marketing at anytime and also for some other circumstances. You can update your choices via the Preference Centre.
  • You have the right to not be subject of decisions based solely on automated processing i.e. through the use of AI, without human involvement.

We may need to validate the identity of individuals making a rights request under UK GDPR. Most requests will be processed within a month of validation. Occasionally more complicated requests can take longer, if this is the case, we will let you know within one month that we need more time to process your request and explain why. In most circumstances there is no charge associated with a rights request under UK GDPR. We will only charge a fee if the request is, as the law states “manifestly unfounded or excessive”. If this is the case, we will ask for a reasonable fee for costs associated with the request.

Updating Your Personal Information

It is important that the information contained in our records is both accurate and current. If your personal information happens to change you can either update your account via the Preference Centre or contact the Data Protection Officer who can action your request with the relevant department.

Your right to access the personal information that we hold about you is not absolute. There are instances where applicable law or regulatory requirements allow or require us to refuse to provide some or all of the personal information that we hold about you. In addition, the personal information may have been destroyed, erased or made anonymous in accordance with our record retention obligations and practices. Managing your data effectively and securely is important to us and we welcome any feedback. What you need to know if you are visiting the zoo

First aid and medical treatment

If you receive first aid or medical treatment whilst visiting Chester Zoo we have a legal obligation to collect your personal information to record and manage your injury and/or treatment. As a rule, Chester Zoo collects personal information directly from you. If you are unable, for whatever reason, to provide this essential information, we can ask a relative or friend accompanying you to provide it. We share your personal information with our employees to assist us with recording and managing your treatment and/or injury. We use OSHENS by Optima as our third party software provider to report injuries sustained and treatment received at Chester Zoo.

CCTV monitoring

Some areas of our premises are equipped with CCTV. Where in use, CCTV cameras are there for the protection of all customers, staff and third parties, and to protect against theft, vandalism and damage to Chester Zoo goods and property. Generally, recorded images are routinely destroyed and not shared with third parties unless there is suspicion of a crime, in which case they will be turned over to the police or other appropriate government agency or authority. This section is not meant to suggest that you will in fact be monitored or your actions are subject to constant surveillance. It is meant to bring to your attention the fact that such monitoring can occur and results in the collection of personal information.

Chester Zoo App

When you use the Chester Zoo App, depending on what you consent to, your name, email address, height, date of birth, location and marketing preferences are processed for app functionality, marketing and push notifications. The content of the app is deemed suitable for any child over 4 years old by the app store. If you are allowing a child under the age of 13 to use the app on your device, please give the necessary consents prior to passing the device to a child. Any data you submit will be stored securely in the a UK database for a period of 2 years from the time you last used the app after which time it will be securely deleted. If you opt in for marketing via the app we will continue to process your data for this purpose until you opt out.

Hire of Mobility Scooters, Wheelchairs and Buggies

We will collect personal data from you in order to facilitate the hire of mobility scooters, wheelchairs and buggies to ensure your safety and the suitability of the vehicle you want to hire. This may include personal data relating to your weight or in the case of hire of an electric scooter that you have received medical advice not to use such a vehicle. The data you provide will not be used for any other purpose.

What you need to know if you are a member or adopter

Animal adoptions

When you adopt one of our animals, as part of your contract we collect your personal information to manage the adoption process effectively. This information includes your name, address, telephone and email of both the adopter and the third party purchaser.

We collect personal data directly from yourself or by a person who has purchased the adoption on your behalf, and store it in an on-site database.

If you chose to do so, we will display your name on a plaque near to the enclosure of your chosen animal as a ‘thank you’ from us.

We will also use your information to notify you when your adoption is ending, to process the adoption payment and email your quarterly ‘Our Zoo’ magazine, ‘Animail’ email updates, and exclusive adoption benefits (events, early access and discounts). You can unsubscribe at any time.

Members

To effectively manage a membership contract, we collect and maintain different types of personal information in respect of those who are purchasing or receiving a membership. Personal data including name, address, date of birth, telephone number; email address, bank account details, method and date of payments, contact details of a carer, Gift Aid status and member’s photos.

We will also use your information to email your quarterly ‘Our Zoo’ magazine, ‘Animail’ email updates, and exclusive member benefits (events, early access and discounts). You can unsubscribe at any time.

What you need to know about our marketing

Communications and marketing

We will only send you marketing communications via email or SMS where you have consented to receive them. Every communication you receive will include an unsubscribe link. You can manage what you receive via your Chester Zoo account. We may contact you by post or telephone where it is in our legitimate interest to do so. You may ask us not to do this by emailing marketing@chesterzoo.org. We may occasionally send you a service email, for example important information in advance of your visit or an update to our Privacy Policy.

 

Social Media/Broadcast VOD targeting

We may use email/address/phone number matching tools to show you relevant advertisements on social media and Broadcast VOD (such as ITVx), or to create ‘lookalike’ lists. This involves providing your personal data to these platforms to match to your profile. You can ask us not to process your data in this way by emailing marketing@chesterzoo.org

 

Visitor Experience

We use technology to aggregate and analyse online surveys, reviews or posts you have made on TripAdvisor, Google, Open Table or Facebook. This is to ensure that we maintain a world-class visitor attraction through identifying trends in visitor feedback.

 

Google Services

When you visit our website we use various Google services, which make use of ‘cookies’. You can manage your preferences to opt-out of any of these services via our Cookie Preference CentreWe use Google Analytics 4 to measure how visitors use our website and improve its usability.  The data is anonymised before it is stored and before we see or use it for analytics processing. We use Google AdWords conversion tracking and Google remarketing to measure the performance of our advertisements and to show you individualised advertising messages on websites that collaborate with Google. Google Signals compiles for us multi-platform data reports on Google users that have enabled personalised advertising in their Google accounts.  You can find further information about data privacy at Google here:

We also use other technology solutions that analyse cookies to help us understand our users’ experience (e.g. how much time they spend on which pages, which links they choose to click, what users do and don’t like, etc.) and this enables us to improve our website. These technologies may store information, on our behalf, in a pseudonymized user profile.

What you need to know if help us fundraise

As a wildlife and conservation charity, we rely on charitable giving to carry out our mission of Preventing Extinction. This incredible support is given by individuals, businesses and trusts and foundations, who we work with and fundraise from. When you decide to provide Gift Aid we are required, by HMRC, to collect and obtain your name and address.

Chester Zoo is wholly committed to good fundraising practice and as such, we’re signed up with the Fundraising Regulator, an independent body who set and maintain the standards for charitable fundraising.

There are a number of individuals who could make a huge difference to our mission of preventing extinction, and we would like to better understand their potential interest in our organisation and activities. To do so, we may use simple research methods to profile supporters and identify shared interests and connections. As a fundraising organisation, we undertake in-house research, and we may also carry out wealth screening to support this research using trusted third-party partners. This information is located from publicly available data and sources. Only individuals who have donated or gift aided are in scope for this activity. You will always have the right to opt out of this process.
We use this information to understand who our customers are, so that we can target our fundraising activities and ensure that we contact you appropriately. You can opt out of your data being used this way any time by contacting our Fundraising Team

What you need to know if you volunteer at Chester Zoo

Volunteers

To ensure that you have the best possible experience of volunteering at Chester Zoo we process your personal data contained in:

  • your application to volunteer (including any references provided) and interview notes
  • forms relating to the application for, or in respect of changes to, volunteer health and welfare benefits; including, short and long term disability, medical and dental care; and emergency contact information.
  • training and personal development records such as your volunteer reviews and policy acknowledgement sign-off sheets;
  • Any photographs and video that you are captured in

The personal information collected is used and disclosed for our business purposes, including:

  • establishing and managing your volunteer placement with Chester Zoo;
  • determining eligibility for initial volunteer placement;
  • establishing training and/or development requirements;
  • conducting performance reviews and determining performance requirements;
  • assessing qualifications for a particular role or task;
  • establishing a contact point in the event of an emergency (such as next of kin);

We use a trusted third-party database in Canada to store your personal data and have relevant agreements in place that ensure the highest possible security and privacy standards are maintained to protect your data.

Privacy laws do not generally require Chester Zoo to obtain your consent for the collection, use or disclosure of personal information for the purpose of establishing, managing or terminating your volunteer relationship.

What you need to know if you work at Chester Zoo

What Personal information do we collect?

We collect various types of personal information from our employees, interns, volunteers and students, such as CVs, references, payroll information, health and welfare benefits information, emergency contact information, payroll information (including but not limited to NI numbers, banking and deposit information), photographs and video, performance reviews and beneficiary and emergency contact information.

In addition to the examples listed above, personal information also includes information such as name, home address, telephone, personal email address, date of birth, employee identification number and marital status, and any other information necessary to Chester Zoo business purposes, which is disclosed in the course of an application for employment or placement with Chester Zoo.  We may collect this information directly from you or from third parties (e.g., employment references) with your consent  or as permitted by law.

From time to time, we may use the services of third parties and may also receive personal information collected by those third parties in the course of the performance of their services for us. In that case, we will take reasonable steps to ensure that such third parties have represented to us that they have the right to disclose your personal information to us. Where permitted or required by applicable law or regulatory requirements, we may collect information about you without your knowledge or consent.

Why do we collect personal information?

We use your personal information for our business purposes, such as establishing, managing or terminating your employment relationship with us, complying with legal and regulatory requirements, and ensuring the security of our information and property. Such uses include:

  • determining eligibility for initial employment, including the verification of references and qualifications;
  • administering pay and benefits;
  • conducting performance reviews and determining training and/or development requirements;
  • conducting training and/or development requirements;
  • assessing qualifications for a particular job or task;
  • gathering evidence for disciplinary action, or termination;
  • establishing a contact point in the event of an emergency (such as next of kin);
  • complying with applicable legal and regulatory requirements;
  • compiling directories;
  • ensuring the security of company-held information;
  • processing employee work-related claims (e.g. worker compensation, insurance claims, etc.)
  • and such other purposes as are reasonably required by Chester Zoo.

Monitoring

Where in use, CCTV cameras are there for the protection of employees and third parties, and to protect against theft, vandalism and damage to Chester Zoo good and property. Generally, recorded images are routinely destroyed and not shared with third parties unless it is relevant as part of an workplace investigation or where there is a suspicion of crime, in which case they may be turned over to the police or other appropriate government agency or authority.

Pursuant to the IT Systems Acceptable Use Policy and your contract of employment, we have the capability to monitor all Chester Zoo employees computer and e-mail use. This section is not meant to suggest that all employees will in fact be monitored or their actions subject to constant surveillance. It is meant to bring to your attention the fact that such monitoring may occur and may result in the collection of personal information from employees (e.g. through their use of our resources). When using Chester Zoo equipment or resources employees should not have any expectation of privacy with respect to their use of such equipment or resources.

When Do We Disclose Your Personal Information?

We may share your personal information with our employees, members, contractors, consultants and other parties who require such information to assist us with establishing, managing or terminating our employment relationship with you, including: parties that provide products or services to us or on our behalf and parties that collaborate with us in the provision of products or services to you. An example of this is the provision of a healthcare cash plan by Medicash, a third party organisation providing processing services to Chester Zoo.

Also, your personal information may be disclosed:

  • as permitted or required by applicable law or regulatory requirements. In such a case, we will not disclose more personal information than is required under the circumstances;
  • to comply with valid legal processes such as search warrants, subpoenas or Court orders;
  • as part of Chester Zoo regular reporting activities;
  • to protect the rights and property of Chester Zoo;
  • during emergency situations or where necessary to protect the safety of a person or group of persons;
  • where the personal information is publicly available; or with your consent where such consent is required by law.

How Long is Your Personal Information Retained

Except as otherwise permitted or required by applicable law or regulatory requirements, Chester Zoo will retain your personal information only for as long as it believes is necessary to fulfil the purposes for which the personal information was collected (including, for the purpose of meeting any legal, accounting or other reporting requirements or obligations). We may, instead of destroying or erasing your personal information, make it anonymous such that it cannot be associated with or tracked back to you. In most cases your data will be deleted 6 years after you have left the company. If you have applied to work for Chester Zoo and have been unsuccessful we will retain your data and this will be deleted 6 months from date of application.

Occupational Health

Occupational Health promotes the physical and mental health and wellbeing of all employees.

During an Occupational Health assessment, records related to an employees health are made and kept. Health records are clear, accurate and factual and are contemporaneously taken by a Occupational Health professional. They will include all presented information, decisions made, information/advice given to employee and current treatment.

Data kept throughout employment include referral requests, health surveillance records, contemporaneous notes, pre-placement questionnaires, copies of reports written, correspondence between health professionals and other relevant staff within the business, and consents.

All employee records are stored securely and confidentially.

Consent is always sought to share health data, as required, with an employee’s line manager or the People Team for all referrals, reviews and health surveillance. Employees have the right to withdraw their consent at any time.

Employee Health data is retained in line with Chester Zoo’s Retention and Disposal Policy and Schedule.

Employees have the right under GDPR to have a copy of their own records by contacting the Data Protection Officer. They may also  give a written instruction to a solicitor to do so on their behalf. The Data Protection Officer will require a copy of this consent prior to releasing any information. Next of Kin are not able to request access on behalf of the employee.

Science and conservation

Conservation Training Academy and Alumni

If you train or study with Chester Zoo we collect and process your personal data in order to establish your eligibility for the Alumni network at Chester Zoo and also to understand and provide for, your training and development needs to ensure that you can make the most out of being part of the Alumni network. What information are we collecting? 

As part of the Alumni, we may need to hold the following information:

  • Contact details
  • Place of work and job title;
  • Records of your correspondence with us;
  • Photographs and digital images of individuals.

But we also collect, hold and process other personal data where it is appropriate and relevant, for example:

  • Details of prior courses, placements or PhD work carried out with us
  • Details of post-training skills which may have been developed as part of the course;
  • Details of how you would like to be involved with the alumni network,
  • Any additional needs, allergies or medical information that you share with us
  • Payment details

Who has access to this data?

Your personal data will be used only by relevant Chester Zoo staff where the data is necessary for them to undertake their designated role.

Examples of relevant staff may include:

  • Your Academy contact
  • The named trainer/s of the course or qualification supervisor
  • Support staff in the Science Directorate

We may share certain information with parties that provide products or services to us or on our behalf and parties that collaborate with us in the provision of products or services to you.  We may also share your personal information without your knowledge or consent where we are permitted or required by applicable law or regulatory requirements to do so.

Updating Your Personal Information

Research and Fieldwork Partners

When you conduct research and/or field work with Chester Zoo we ask for your name, email, contact number and business address on the proposal form. We will review your proposal and If approved, make an informed decision about supporting the project. We use legitimate interest as a lawful basis for processing your personal data. This enables us to contact project staff during the data collection stage and after the project has ended, to facilitate the research and respond to any queries regarding the project. When do we process children’s data and special category data?

Children’s data

We collect and manage personal data about children in certain some circumstances, such as when children participate in activities at Chester Zoo (such as educational and learning activities, or zoo ranger or junior member events or competitions) or have requested to receive certain communications from us, such as newsletters. Those aged under 13 are not permitted to receive our newsletters, or enter any competitions or prize draws with us. We will not knowingly have any other direct contact with those aged under 13.

Where consent is required to process children’s personal data and the child is under 13 years, where appropriate we shall seek consent from a parent or guardian, or shall ensure such consent is in place before any data is shared with us. We shall only hold personal data about children that is absolutely necessary for the purpose of the event/programme that they are applying for or participating in.

Where a parent or guardian gives consent on behalf of a child, we contact that child after their 18th birthday, to check if they wish to maintain their relationship with us.

To effectively manage a Junior or Little Explorer membership contact we collect and maintain the full names of the children who will use the membership as well as their date of birth and photograph. Full names and photographs are collected to ensure the identity of the child is that of the child entering the zoo under the membership card. The date of birth is collected to ensure the child still falls within the age limited of their membership category. This data is hosted in a CRM and ticketing system database.

Safeguarding

We process personal data, including sensitive data, of children, young people or adults at risk for the purpose of safeguarding. This is a legal obligation and where appropriate we will share this information with the police and other relevant agencies. We use CPOMS as our safeguarding platform to ensure that  this data is secure.

The UK GDPR singles out some types of personal data as likely to be more sensitive, and gives them extra protection:

  • racial or ethnic origin;
  • political opinions;
  • religious or philosophical beliefs;
  • trade union membership;
  • genetic data;
  • biometric data (where used for identification purposes);
  • health related or medical data;
  • data concerning a person’s sex life or sexual orientation.

We generally only process this types of data with your specific consent, or in the case of emergency we use vital interests as our lawful basis to process related health data.

We will only process sensitive personal data also known as special categories of data, e.g. in relation to your health for providing first aid) with your explicit consent.  To ensure on going monitoring of the equality and diversity of our workforce, we use legitimate interest to process data relating to ethnicity any religious beliefs.
